Monitoring Gmail accounts within InstantKB


Channels

InstantKB can optionally monitor your email accounts to convert emails into support tickets within InstantKB. In order to monitor a Gmail account either via POP3 or IMAP within InstantKB there are a few key considerations. This article shows how you can configure InstantKB to monitoring either your POP3 or IMAP Gmail account.

Configuring InstantKB to monitor pop.gmail.com

 InstantKB can monitor your pop.gmail.com email accounts and convert emails sent to your Gmail account into support tickets within InstantKB.

To configure InstantKB to monitor your Gmail imap account please follow the steps below...

  1. Visit the InstantKB Admin CP
  2. Hover over Channels on the left
  3. Click Emails
  4. Click the Add Email Account tab

 When adding a Gmail POP3 account your settings would look similar to those shown below...

When adding a POP3 account please ensure the Enable IMAP option is left disabled. In addition if you're connecting to a POP3 server on port 995 you must always ensure you select the "Enable SSL / TLS" option within InstantKB. If you're connecting to port 110 you will need to consult your email provider to determine if SSL is required to enable or disable the Enable SSL / TLS" option accordingly.

When adding a new email account you must also select which tabs within InstantKB these messages will appear under. The default is the submit ticket tab however you may wish to have different tabs for different email addresses.

Configuring InstantKB to monitor imap.gmail.com

InstantKB can monitor your imap.gmail.account accounts and convert emails sent to these accounts into support tickets within InstantKB.

To configure InstantKB to monitor your Gmail imap account please follow the steps below...

  1. Visit the InstantKB Admin CP
  2. Hover over Channels on the left
  3. Click Emails
  4. Click the Add Email Account tab

Provide your account details as shown below.

When adding an IMAP account you must ensure  you check the "Enable IMAP" option as shown above. If you're adding an IMAP server using port 993 you must always ensure the "Enable SSL / TLS" option is enabled within InstantKB. If you're adding an IMAP server using port 143 you should check with your email provider if a secure connection is required and enable TLS for your account within InstantKB accordingly.

When adding a new email account you must also select which tabs within InstantKB these messages will appear under. The default is the submit ticket tab however you may wish to have different tabs for different email addresses.

Troubleshooting Common Problems

When you add a new email account InstantKB will attempt to connect to your mail server as you create or edit  the email account. This is to validate everything is working correctly. When adding or editing email accounts you may see one of the following error messages when you attempt to save the email account.

The connection was closed by the server

If your adding an IMAP account please ensure you've enabled the IMAP option within InstantKB. Similar if your adding a traditional POP3 account ensure the Enable IMAP option is not enabled.

Please login via your web browser ... { link to google support docs } ....

This error often indicates the connection from your InstantKB installation to the Gmail servers is not fully secure or is using an older version of SSL or TLS. You can resolve this problem by ensuring your server is using SSL 3.0 to connect to the Gmail servers. This will require you run InstantKB under .NET 4.6 as .NET 4.6 introduces the latest security protocols.  Alternatively you can allow less secure connections to your Gmail account to resolve this problem.
